It’s that time of year! *Residency Application Season*
I have shared in multiple different posts on Instagram tips for residency applications but I wanted to give an updated post and compile it all together for you.
I already covered how to search for residency programs and organize the information in a previous post.
Although the info below is general, I also wrote out a separate blog post with specific advice for PGY-2 applicants such as my updated CV I used, an example of my letter of intent, and who I used for letters of recommendation when applying to PGY-2s.
Pharmacy Residency Application Requirements
๐๐ก๐๐๐๐๐ – Pharmacy Online Residency Centralized Application Service. This is the online portal where all your application information is uploaded and is used by all ASHP accredited residency programs. (Costs $110 to register, includes first 4 programs, each additional program is $43)โฃ

๐๐๐ – National Matching Service. Must register for this separately but then it works with PhORCAS to allow you to participate in the Match process.โฃ

๐๐ – organized list of education, work experience, rotations, presentations/publications, memberships, community service, other skills, and honors/awards. CV stands for โcurriculum vitaeโ which means โthe course of your lifeโโฃ

To see what they would fill out, google โPhORCAS recommendation formโ or a direct linkย here. Usually programs require 3 letters. Some require specifics like at least two preceptors, at least 2 commenting on clinical skills, etc.โฃ

Curriculum Vitae
I have an Instagram post that provides an overview of CV tips for students. I’ll focus here on what your CV should include for residency applications, but a lot of the info below is also from that post

– PhORCAS ID at the top
– concise bullet descriptions of APPE rotations, work experience, and other unique experiences that are not self-explanatory such as leadership roles
– should include all APPE rotations and anticipated APPE rotations. can also include IPPE rotations if relevant, some people do some people don’t.
– pay attention to formatting — all bullets should be aligned, dashes the same size, formatting for year and month consistent, etc
– be prepared to speak to ANYTHING on your CV during interviews

– if the section overlaps to next page, you should restate the title of that section (ex “Pharmacy Work Experience Continued”)
– list items in backward chronological order (most recent first)โฃ

Letters of Recommendation (LOR)
You need at least 3 LOR minimum for most residency program applications. Rarely some will require 4.โฃ

๐๐จ๐ฐ ๐ข๐ญ ๐ฐ๐จ๐ซ๐ค๐ฌ: When PHORCAS opens, you will enter the letter writer’s email and they will receive a link to fill out the letter of recommendation. In the past, this was a traditional letter, but now it is a template with all standard categories. To see what they would fill out, google โPhORCAS recommendation formโ or a direct link here. The letter writer will fill this out and submit it. You cannot see what they write from your end.โฃ

You can also request the letter writer fill out different versions of their letter if you need something unique included for a specific program. This is just optional, I would only do this if you feel it is relevant to a specific program like your preceptor knows the RPD, etc or if you plan to apply to different types of programs (such as PGY1 general vs PGY1/2 HSPAL) and you want the same letter writer to speak to different qualities based on the program type.โฃ For most students, I recommend sticking to one general submission for each letter writer.

๐ช๐ก๐๐ง ๐ญ๐จ ๐๐ฌ๐ค: Donโt wait until November/December! Ideally, I would ask all letter writers around Sept or Oct, or earlier if needed. โฃIf you happen to have a great rotation with a preceptor in November/December, try to discuss your request with them as soon as you can and ask them if they have time.

๐ช๐ก๐จ ๐ญ๐จ ๐๐ฌ๐ค: Letter writers should be people who can speak upon your fit for residency. You should have had frequent interactions with them, enough that they can write about your skills, knowledge, performance, etc.โฃ

At LEAST one should be an APPE preceptor. Some programs require certain types like 2 preceptors and 1 employer. For PGY1, I had 1 preceptor, 1 my boss, and 1 preceptor/professor. For PGY2 I had 1 my RPD, 2 preceptors. You can ask more than 3 people if you need more of a variety of letter writers, even if all your programs only require 3 LOR. Then you can mix/match and choose what LOR fits best for each program.
What I mean by mix/matching: When you submit your program applications, you can choose which letter writers you want to include for each application. โฃThe letter writers will not know if you use them for all your applications, just a few, or even none at all. Of course, be respectful of their time and don’t request them to write a letter if you don’t plan to use it. In some less common situations, a student may have had a bad experience with a letter writer and no longer wish to use their letter for various reasons – in these cases it is good to know there is no way the letter writer will know you didn’t use them; so no need to worry about repercussions of that.
๐๐จ๐ฐ ๐ญ๐จ ๐๐ฌ๐ค: For APPE preceptors, I would be sure to share that you are interested in residency at the start of the rotation. Then either at the midpoint or final eval say something like โAs I mentioned before, I am planning on applying to PGY-1 residencies this year. Would you be willing to write me a *๐ด๐ต๐ณ๐ฐ๐ฏ๐จ* letter of recommendation?โ. If you ask at the midpoint (this is what I did), you can also ask them โis there anything I can improve upon for the remaining time of rotation that would help you feel confident in writing me a strong LOR for residencyโโฃ

I would ask in a similar way for non-preceptors. Since you may not be scheduled to see them like you would a preceptor, consider asking to meet up for coffee, a phone call or webex, etc. I didnโt ask any of my LOR over email because I found it too impersonal, but I know others that have with no issue. โฃ
โฃ
๐๐๐๐๐๐๐๐๐ โ> Make sure the preceptor feels comfortable writing a STRONG letter. If they hesitate, are not enthusiastic, or say anything about writing an โokayโ or not strong letter โ then do not pursue that LOR. Also, consider your performance and interaction with this person. If there are any concerns they may have negative things to say, I would not ask them at all.โฃ A bad or negative letter of recommendation has led to zero interviews for students in the past, so do your best to have all your LOR be from people who want to recommend you for residency.
So I used to previously recommend students to create a LOR Excel Spreadsheet, which contains categories that match the template from PhORCAS. I did this as it was recommended to me by a mentor and current resident. I filled out the category sections as if I was the letter writer. Essentially help your letter writer recall all the accomplishments, interventions, and other notable events that they can write about. Filling these out for my 3 letter writers took me 3-4 weeks. โฃ
My update is that I no longer recommend the “excel sheet”ย – because it’s likely not needed! If you have reliable letter writers that care about you and your ability to match to a residency, they will be taking the time to write out those things. It is especially unnecessary for preceptors who already have to document these things in your school evaluations. If you have letter writers that you are concerned may not recall your accomplishments or you have doubts they will include pertinent information – first consider if they are an appropriate letter writer to use. If yes, then consider writing an informal short summary of what you accomplished when working with them, such as presentations, patient care (7 patient visits per day, or other specific examples), or projects.

๐ช๐ก๐๐ญ ๐๐๐๐๐ฅ๐ข๐ง๐ ๐ญ๐จ ๐ ๐ข๐ฏ๐: So when I applied to PGY-1, I gave the earliest deadline among all my programs I was planning to apply to. BUT know that this means your LOR may not be submitted until THAT day. This can be very stressful (speaking from personal experience lol). So my best advice is to tell them an earlier deadline than the first real deadline you have.โฃ

๐๐จ๐ญ๐: you can still submit your residency applications without having the LOR submitted yet. HOWEVER, some programs will not look at your application unless ALL of your required materials are in PhORCAS. I would not take that risk if you donโt have to!โฃ

Sept-Oct (or earlier): ask if letter writers are willing to write a strong LOR for youโฃ
Early Nov: (1) PHORCAS opens, enter in letter writers information, they are sent link to fill out (2) email letter writers after to let them know they should have received the link and include what is mentioned aboveโฃ
Early to Mid Dec: Watch for an email notification saying a LOR is submitted. Reach out to any letter writers to check in if LOR not submitted by the deadline you give.โฃ
End of Dec/Early Jan: Residency application deadlines.โฃ
Letters of Intent (LOI)
When you submit residency applications in PHORCAS, you will upload a LOI for EACH program you apply to.โฃโฃ

LOI are for you to explain why YOU are a good fit for their program and why they should offer you an interview.

There are many examples online, to find them google “pharmacy residency letter of intent”. The most important caveat is DO NOT copy any letter of intent you find online, especially not the most common ones. Not only is this a red flag for programs (and they will know), but it is also plagiarism.โฃโฃ

You should look at examples to get an idea of how to organize your LOI, get ideas for what to include, and then write your own.โฃโฃ

make it about YOU, not about the program. The program knows about their program, they want to hear about you. Your accomplishments, why YOU are a good fit for the program, YOUR career goals.โฃโฃ
always check the program website for โApplicationโ section for any specific instructionsโฃโฃ

ย review your notes on the program, revisit the website and write down all the unique things about the program that you want to mention or tie to your interests and accomplishmentsโฃโฃ
ย write your first letter for the program you are most passionate or fired up about (makes it easier)โฃโฃ
ย edit that one until you are satisfied. send to others to review. make edits.โฃโฃ
ย then start writing your other letters based off that well polished first program. Change sentences to match the notes you made for each individual program. Make sure each letter is customized and unique (if you are only changing the name of the program for each letter that is a bad sign that your letter is not specific enough).

This should describe with specific examples your relevant experiences, leadership, accomplishments, and other skills. Describe how the program will help you achieve your career goals. Consider how you might support or help the program improve (what do you bring to the table).
Closing paragraph: Brief recap of how you would be an asset to the program. How youโre looking forward to an interview/talking with someone visit. Thank the person for their consideration.ย

An example of my PGY-1 letter of intent is below. I applied to a variety of programs but about half were Veterans Affairs (VA) hospitals so this is an example of one for a VA, but if it wasn’t a VA I would just focus less on serving veterans and discuss other attributes related to the program.

Only thing missing from this example below is I included an image of my written signature on its own line at the bottom, after “Best,” and before my first and last name. There is not set date but I would start as soon as you have programs you know you want to apply to. The earlier you start, the more time you have to get feedback from others, and allows you to walk away and come back with a fresh perspectiveโฃ (vs cramming to finish on a tight deadline).
I started in December but I wish I would have started in Oct or Nov. But I took a long time to finalize my list of programs and I wanted to finish that first before starting my letters. Do what is best for you!โฃ
Do not wait until last minute. The Latest I would say is right after Midyear!

I prefer to read it myself out loud one time at the endโฃ

use Grammarly! Google how to add it to Word. So helpful at finding spelling and grammar mistakes Word doesnโtโฃ.
the most examples you can view the better (in my experience). LOI can look so different and seeing how people word things and organize theirs can be helpful. Ask residents you know or are on rotation with if they would feel comfortable sharing theirs. Go to residency prep seminars, they often share examples. Save it all to one document and review it when you need inspiration or guidance. (remember under no circumstances should you ever copy any of them!!)

Go to the status tab and look at transcripts. It should say “received:1”. You can also then click on the word “transcripts” and it will show you the date received by PhORCAS to be sure, especially if you request more than one and want to know if the newer one was received.
